General Trip Policy Information

San Marcos River - Moonlight Paddle

  • Depending on the trip length and activity, certain things may or may not be included in the cost of registration. Read the trip description on the registration website for specifics, as every trip is different. 

    All Adventure Trips in general however, if required for the trip, will include:

    1. Trained, experienced trip leaders that hold a wilderness medical certification. Trip Leaders are excited to get you outdoors, and help build your skills to feel confident throughout every activity!
    2. All transportation costs (Vans, Trailers, Gas, etc.).
    3. All food costs (Meals are typically provided except for additional personal snack needs or during vehicle travel).
    4. All necessary permits, reservations, or other requirements to visit a particular park/location.
    5. All group and personal equipment for the trip. Participants only need to bring their own clothing and specific personal needs.
  • All overnight trips require a Pre-Trip Meeting. 

    Pre-trip meetings are mandatory for all participants and meet at the Outdoor Center in Sewell Park. 

    Pre-trip meeting dates and times are listed in the trip description and available before registering.  

    Participants who do not attend the Pre-Trip meeting for the trip they are registered for will forfeit their spot on the trip and will not be eligible for a refund. Exceptions may be made if absence is communicated in advance. 

  • Adventure Trip Program staff makes every effort to foster an enjoyable experience.

    Participants will assume the responsibility for many decisions that impacts themselves, and others, during the activity. However, trip leaders have final authority and will not hesitate to dismiss those participants (at their personal, financial, expense) whose conduct is detrimental to themselves, the group, or the activity site. 

    Participants should be aware that outdoor activities can be physically demanding with inherent elements of risk and danger beyond the control of Trip Staff. These risks include but are not limited to the potential for accidents or illness while traveling to and from the activity sites, or while participating in locations such as rugged mountain, wilderness and river terrain. While the Adventure Trip Program does not assume liability for personal injury or death, every effort is made to minimize these risks. 

  • Cancellation dates vary for each trip, but is typically the pre-trip and registration deadline date. 

    • If a trip does not meet the minimum participation needed, the trip will be cancelled, and refunds will be provided. 

    Transfers may be made to another available activity at full value if required prior to the cancellation date. 

    • No transfers will be granted past the cancellation date. 
    • If you are requesting to transfer your funds from an activity that has already filled its roster, you may not be permitted to transfer until your spot can be filled. 

    Adventure Trip registrations are, in general, non-refundable

    • If your spot on the roster can be filled, a refund will be processed. 
    • If you are unable to participate fully in a trip due to inadequate fitness or undisclosed conditions, your registration fee will not be refunded.
